Position Summary

Entrada is hiring an executive Office Administrator. This is a diverse role in which the candidate will support existing administrative functions and can apply innovation and design to implement new systems for improvements. The ideal candidate is an individual that will demonstrate dynamic and forward thinking and act as a constructive resource for our team. The successful candidate must be a self-starter, with the ability to work in a fast paced, scientific environment. This position requires an individual that is highly organized, with a strong communicative and interpersonal skill set.

Job Responsibilities

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Maintain and organize general office supply inventory and purchases
  • Manage and maintain IT infrastructure: create, and update tickets, meet with technicians, facilitate external platform integrations, maintain hardware inventory, review SOPs, ensure compliance
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Facilitate pre-onboarding and initial employee onboarding process; including interview scheduling, 1:1 setup, IT equipment coordination, following the official onboarding process; own the process of guiding a new hire from pre-arrival through their first week
  • Maintain and improve internal operations and procedures
  • Assist in the training of staff on numerous administrative items, including scheduling the onboarding of new platforms for our team
  • Independently perform improvement projects which require a combination of administrative, creative, and communications skills
  • Manage front-line external relationships, licensee, facilities, internet, etc.
  • Support scientific operations through research and evaluation of vendors, initiate conversations, prepare summaries and pitch to leadership teams
  • Communicate and facilitate interrelated efforts from administration to lab to executive team
  • Maintain working knowledge of company policies, shared documents and folders
  • Organize, prepare, and dispatch documents to executive team
  • Willingness to contribute to internal company ‘culture’; promote our ever-growing idea of team culture
  • Contribute to and develop external facing cultural presence, LinkedIn, Twitter, Facebook page
  • Provide other administrative support as necessary, including scheduling meetings, maintaining calendars, resolving administrative issues
  • Preparation and management of mailing and shipments to/from office
  • Perform receptionist duties: check in and greet visitors
  • Arrange corporate travel for team members (as needed)
  • Coordinate company lunches
  • Assist with company event planning


  • BA/BS Degree preferred
  • At least 2 years of work experience in an executive assistant/office management role
  • Previous experience in the biotechnology industry preferred
  • Proficient with Microsoft Office
  • Extensive knowledge of PowerPoint features; design and formatting
  • Strong communication skills (oral and written) and ability to work effectively across functions
  • Strong organizational and time management skills
  • Demonstrates consistent attention to detail
  • Advanced comfort with technology; familiar with IT troubleshooting and navigation
